HEAD OF REGISTRATIONS
This role involves but is not limited to:
- Working with the Post Completion Team Leader to ensure that the knowledge of the Post Completion Executives, enables the work processes are completed consistently & updated to industry standards and queries raised at the appropriate point in the process
- Working with the Head of Post Completing Monitoring to ensure that the knowledge of the Data Monitoring Assistants enables the work processes are completed consistently & updated to industry standards and queries raised at the appropriate point in the process
- Ensure targets are met to achieve service levels within each of the teams to register and complete files following the conveyancing transaction
- Work closely with other Heads of Departments to support operational conveyancing teams with the post completion and file closing/archiving process
- Work closely with Consultant programme to ensure that the post completion process for consultant files is fully supported
- Work closely with finance, fee earners and heads of department to ensure that all residual balances are actioned in a timely and efficient manner and are holding a zero balance in order for the files to be closed and archived
- Ensure that the file closure process is correctly followed, and files are closed and archived in a timely manner
- Work with archive and finance to ensure that files are closed and archived correctly
- Identify by utilising and creating MI to identify trends within the department; increase efficiencies and upskill conveyancers within the various registration processes
- Ensure Companies House registrations are completed correctly and within given deadlines
- Design and implement a procedure for ensuring deeds chasers are responded to effectively and within a timely fashion
- Draft Deed of Covenants as part of the registration process when applicable
- Trouble shoot any technical queries to resolve the registration of files
- Analyse management information data to identify key areas where support or training is required.
- Flex staff levels to cover busy periods and analyse inflow of work to ensure adherence to both targets and budgets.
- Proactively develop training and work alongside both the Business Systems Training & Delivery Manager to promote correct processing of transactions by Conveyancing and Post Completion teams
- Recommend strategies and assist with developing and enforcing company policy and procedures.
- Assume responsibility for setting up fee earner accounts with the land registry portal
- Ensure focus on quality and compliance is actively demonstrated
- Creating and monitoring reports linked to the post completion process, ensuring repeat issues are dealt with via ‘root cause analysis’ and taken up with the colleagues concerned.
- Ensuring all registrations are monitored and registered in a timely manner
- Dealing with conveyancers enquiries relating to post completion matters.
- Dealing with client’s post completion enquiries where fee earners no longer work at Taylor Rose.
- Dealing with Land Registry, Mortgage Lenders and other relevant parties during the process.
- Making applications to facilitate the registration of Legal Title at the Land Registry.
- Ensuring any requisitions or queries raised by the Land Registry and other relevant parties are responded to in a timely manner by the teams
Requirements:

Proven experience in the legal sector.

A Qualified solicitor of Licensed Conveyancer is desirable but not essential

Ability to deliver strong, dynamic and effective leadership.

Previous experience of working in a large conveyancing department and managing post completion.

Experience in submitting applications to Land Registry.Experience in creating and managing reports.
